Coolwatcher processes personal data carefully and in line with the General Data Protection Regulation (GDPR). This statement explains which data we collect through this website and our service, why, which parties we share it with, how long we keep it and what rights you have.
Data controller
The controller for the data processed through this website and the service is Coolwatcher, part of Kaabmedia, registered at Prins Mauritsstraat 62, 2628 SV Delft, the Netherlands, listed in the Dutch Chamber of Commerce under number 82149569. Which data we process
We process the data you provide yourself through our forms, such as the contact and demo form, the newsletter and the free temperature log. This includes your name and company name, email address and phone number, billing and address details and the number of measuring points. For the service itself we process measurement data from your equipment, such as temperature readings, timestamps and alarms, plus the phone and WhatsApp numbers on which you want to receive alerts and the answers you give to an alert. When you visit the website we also process technical data such as your IP address, device and browser, and data from cookies (see the Cookies and analytics section).
Purposes and legal bases
We use your data to deliver and maintain the service and to warn you of a deviation or fault (performance of the agreement), to build your HACCP records and corrective action log automatically, to send invoices (legal obligation), to respond to your questions (legitimate interest) and, where you have given permission, to send you our newsletter and tips (consent). Analytics and advertising cookies are only placed with your consent. We never sell your data to third parties.
Cookies and analytics
For the site to work we place necessary cookies, for example to remember your cookie choice and language. Only after you click Accept all in the cookie banner do we place analytics and advertising cookies: Google Analytics to measure how the site is used, Google Ads to measure which ads lead to a request, and Microsoft Clarity, which creates heatmaps and anonymised session recordings to improve the site. These run through Google Consent Mode and do not load if you decline. You can change your choice at any time through the Cookie preferences link at the bottom of the page.
Processors and third parties
To deliver the service we engage carefully selected providers (processors), such as Vercel (website hosting), Sanity (content storage), Resend (email), Meta (WhatsApp messages), Twilio (the automatic phone call on a fault), Efento and the telecom provider (the sensors and the NB IoT network), and Google and Microsoft (analytics). With these parties we conclude data processing agreements stating that they only process your data on our instructions and secure it appropriately. Business customers can conclude a data processing agreement with us on request.
Transfers outside the EEA
We prefer to store data within the European Economic Area. However, some of our providers are also established outside the EEA or may process data there, in particular in the United States, such as Google, Microsoft, Meta and Twilio. In those cases we ensure an appropriate level of protection, for example through the EU-US Data Privacy Framework or the European Commission's standard contractual clauses (SCCs).
Retention periods
We do not keep your data longer than necessary. Measurement data and HACCP reports are kept for the duration of the agreement and afterwards for as long as needed for your records or legally required. Invoice data is kept for seven years under the statutory tax retention obligation. Data from contact and request forms is kept for as long as needed to handle your question and maintain our relationship, and newsletter data until you unsubscribe.
Security
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, such as encrypted connections and access on a need-to-know basis. Should a data breach nevertheless occur despite our measures, we act in accordance with the statutory notification duty.
Rights of data subjects
You have the right to view, correct or delete your data, and to object to or request restriction of the processing. You can also withdraw consent you have given and have your data transferred. Send us a message at info@coolwatcher.nl to exercise one of these rights; we respond within the statutory period. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Changes to this statement
We may update this privacy statement from time to time, for example when we change our service or the tools we use. The current version is always on this page, with the date of the latest change at the top. For significant changes we will inform you where reasonably possible.
